1. Who we are

This learning platform is operated by the Synergy Academy of Excellence (the responsible party) on behalf of its client organisations. Questions about your personal information can be sent to our Information Officer at [information officer email].

2. What we collect

Your name, contact details, ID or employee number, employer, job and department, course enrolments, activity and attendance records, assessment results and portfolio-of-evidence submissions.

3. Why we collect it

To deliver training and learnerships, assess competence, issue certificates, report progress to your employer and to the relevant SETA or quality council (for example QCTO), and to meet our legal and funding obligations.

4. Who we share it with

Your employer (for example your Skills Development Facilitator), assessors and moderators, SETAs and quality councils, and service providers who host the platform for us under written confidentiality agreements. We do not sell your information.

5. How long we keep it

Learner and assessment records are kept for as long as needed for accreditation and audit purposes, then deleted or anonymised according to our retention schedule.

6. Your rights

You may ask to see, correct or delete your personal information, object to processing, and lodge a complaint with the Information Regulator. You can request a copy or deletion of your data from your profile under Data requests.

7. Security

We use access controls, separate tenant areas for each client organisation, and encryption in transit to protect your information.

POPIA treats some information as special personal information, which needs your specific consent. On this platform that may include:

• race or ethnic origin, used only for B-BBEE, employment-equity and SETA reporting;
• health or disability information, used only to arrange reasonable accommodation for training and assessment.

This consent is optional. If you decline, you can still use the platform and complete your training; we will simply not record or report this information about you. You can withdraw your consent at any time from your profile under Policies and agreements.
